Provision of data
In order to consider your application, we require the personal data from you that is necessary for the decision on the establishment of an employment relationship.

Type and origin of data
As part of the application process, we process the following personal data:

  • Your master data (e.g. first and last name, name affixes, date of birth)
  • If necessary, your work permit / residence permit
  • Contact information (private address, (mobile) telephone number, email address)
  • Skills data (e.g. special knowledge and competences)
  • If relevant for the job advertised: fitness to work
  • Further data from the application documents (e.g. notes, employment periods)

In general, your personal data will be collected directly from you during the recruitment process, in particular from the application documents, the job interview and the personnel questionnaire.

We may also process personally identifiable information that we have obtained from publicly available sources (e.g. professional networks such as Xing).

In the case of job placement, we also receive data from third parties (e.g. employment agency, recruitment agency).

Purpose and legal basis for data processing
We process your personal data in compliance with the provisions of the EU General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (BDSG). First and foremost, data processing serves to establish the possible employment relationship. The primary legal basis for this is Article 88(1) GDPR in connection with Section 26(1) BDSG. Your data will be processed exclusively for the purpose of possibly filling the specific position for which you have applied. In addition, the processing of health data may be necessary to assess your ability to work in accordance with Article 9(2)(h) GDPR in connection with Section 22(1)(b) BDSG.

If you would like to be included in our applicant pool after being rejected, we require a declaration of consent from you; the same applies if your application is to be considered for other vacancies in the company.

Furthermore, under European law we are required to compare your data with persons/companies on sanctions lists. This will ensure that no funds or other financial resources are made available for terrorist purposes.

Data security
We implement technical and organisational security measures in order to protect your data managed by us against accidental or intentional manipulation, loss, destruction or access by unauthorised persons. Our security measures are consistently improved in line with technological developments. Your data is hosted on our local mail servers by means of contract data processing. Data transmission by email is unencrypted unless encrypted by you. In order to increase the data protection of your documents we recommend an encryption via 72Zip. You can share the password for decryption with us by phone.

Storage duration and deletion
If you are hired, we will include your application documents in your personnel file. After termination of the employment relationship, the respective personal data will continue to be stored (we are legally obligated to store it). This regularly results from legal obligations to provide evidence and to retain records, which are regulated in the German Commercial Code and the Fiscal Code of Germany among others. The storage periods last up to ten years. In addition, personal information may be retained for the period during which claims may be made against us (statutory limitation period of three or up to thirty years).

In the case of a rejection, your application documents will be deleted six months after the application procedure has been completed at the latest, unless you have given us your consent for a longer storage period (applicant pool).

Data recipients
Within the company, only those persons and positions (e.g. human resources, specialist units, management, workers’ council) who are involved in the decision to hire you receive your personal data.

Your rights as a data subject
You have the rights from Art. 15 - 22 GDPR:

  • Right of access (Article 15 GDPR)
  • Right to rectification (Article 16 GDPR)
  • Right to erasure (Article 17 GDPR)
  • Right to restriction of processing (Article 18 GDPR)
  • Right to object to processing (Article 21)
  • Right to data portability (Article 20 GDPR)
